Freedom & Balance (the “College”) takes your privacy seriously where we deal with your personal information. This means information that identifies you personally such as your name, photo and contact details or data that can be linked with such information in order to identify you directly or indirectly (“information”).

This Privacy Policy (the “Policy”) sets out the basis on which any of your information will be collected, stored and used by us and reflects our commitment to maintain the confidentiality of your information and to provide you with the best possible experience.

We collect your information in the context of offering and providing our services to you, and when you interact with us. We collect your information in a number of ways, being either information you give to us, information we collect automatically, information you provide about other people.

We collect most student information via your application and enrolment processes via the Freedom and Balance mobile number, website and subsequent forms completed by the students at or after enrolment. This student data is essential for the Colleges’ operational use. Whilst the majority of student information you provide to us is mandatory, some of it requested on a voluntary basis. In order to comply with the data protection legislation, we will inform you at the point of collection, whether you are required to provide certain student information to us or if you have a choice in this.

How we store student data

We hold student data securely on our computers, in encrypted and password protected folders.

Information you give us

We collect information on you where you:

  • register to receive any kind of marketing communications from us, including newsletters and the alert services on our website;

  • contact us over the phone, or via email, post, live chat or social media messaging;

  • interact with our social media profiles;

  • create an account with us, or log in and make changes to your online account;

  • visit, attend classes at or interact with us and you provide us with your information;

  • complete a consent form to allow us use photo or video footage of you or attend any of our events or programmes with our official photographer present;

  • enquire about joining a course;

  • purchase any of our event tickets or attend any of our events;

  • voluntarily provide us with information for any other reason.

Information we collect automatically

We collect certain information by automated means, such as cookies and web beacons, whenever you visit our websites. This could include IP address, browser type, and operating system, referring URLs, information on actions taken on our websites, and dates and times of website visits.

HOW DO WE USE YOUR INFORMATION?

The information we hold on you will be used in a number of ways including to provide you with services related to our courses, and to facilitate community engagement by informing and managing your participation in our community programmes, initiatives, activities, promotions and events.

Where we rely on legitimate interest as a ground for processing your information, our legitimate interest is necessary for promoting our business, improving the services we offer to you and your experience when you interact with us, and ensuring effective operational management and internal administration of our business and the exercise of our rights.

We collect and use information, for the following purposes:

  • to support student learning

  • to monitor and report on student attainment progress

  • to provide appropriate pastoral care

  • to safeguard our young people

  • to provide careers and future education and training advice and support

  • to support or improve educational provision

The processing is necessary for your legitimate interests or providing you with an education

DO WE SHARE YOUR INFORMATION?

We share your information in limited circumstances with the members of our group, government authorities, our suppliers, business partners and other trusted third parties. Where shared, we ensure your information will only be used for the purposes outlined in this policy. We do not sell your information under any circumstances.

We share your information with our other group subsidiaries for internal reasons, primarily for business and operational purposes in line with this Policy (see introduction section for details of these group companies and the below):

HOW LONG DO WE KEEP YOUR INFORMATION?

Information that we collect will be retained for as long as needed to fulfil the purposes outlined in the ‘How do we use your information’ section above, in line with our legitimate interest or for a period specifically required by applicable regulations or laws. 

When determining the relevant retention periods, we will take into account factors including:

  • our contractual obligations and rights in relation to the information involved;

  • legal obligation(s) under applicable law to retain data for a certain period of time;

  • statute of limitations under applicable law(s);

  • our legitimate interests where we have carried out balancing tests (see section on ‘How do we use your information above);

  • (potential) disputes; and

  • guidelines issued by relevant data protection authorities.

Otherwise, we securely erase or anonymise your information where we no longer require your information for the purposes collected.

Please consider your request responsibly before submitting it. We will respond as soon as we can. Generally, this will be within one month from when we receive your request but, if the request is going to take longer to deal with, we will come back to you and let you know.

We may periodically make changes to this Policy. We will notify you of any significant changes where we have a relationship with you and otherwise post updated documents on our website.
